Job Title:              Payments & Remittances Administrator

Department:      Mortgage Services

Reports To:         Manager, Mortgage Services


 

Purpose of Job:                

                                                                                               

The incumbent is responsible to accurately process payments and financial transactions which affect the repayment schedule of the mortgage portfolio, line of credit transactions and incoming remittances from third parties. In addition, the incumbent is responsible to remit payments to third parties within due dates as outlined and process credit refunds to borrowers as needed.

 

Main Activities:

 

  • Process payments  received from clients and various departments
  • Run and reconcile transaction verification reports
  • Ensure daily PAC file is processed on time and accurately
  • Ensure all financial transaction involving a 3rd party are accurate and completed in a timely manner.  In addition, should an issue arise; the incumbent will lead the investigation to resolve the issue while maintaining the highest level of service
  • Process daily LOC cheque, review (body of the cheque, limit, signature), in accordance to guidelines and in keeping with banking regulations
  • Decision payment for LOC cheque (pay/no pay)
  • Post daily payment transaction, EFT payment in FIS System, make detailed notes in FIS and PPlus
  • Attend to HELOC requests including reprocessing payments, charging fees, investigating disputed HELOC cheques
  • Investigate and communicate with FI (TD), IT and other parties if issues arise and follow up for timely resolution
  • Accurately prepare reconciliation sheet for daily deposit and accounting
  • Post full and partial discharge payments and principal paydowns accurately on the mortgage system
  • Contact borrower for any LOC processing and handle inbound phone calls, emails or queries regarding LOC items
  • Calculate per diem interest in conjunction with receipt of payout funds and accurately identify shortfalls and refunds requiring action
  • On a daily basis liaise with a variety of internal departments to address any unique adhoc issues that may arise 
  • Document system issues, complete system testing and follow up with open items to ensure resolution
  • Gather data and accurately prepare assigned departmental reports as scheduled

 

 

Knowledge/Skill Requirements:

 

  • Complete a degree or diploma program in a related discipline with a minimum of 2-3 years’ experience in the mortgage industry
  • In depth knowledge of cheque clearing and collection process
  • Ability to confidently make decisions regarding cheque clearing items
  • In depth knowledge and understanding of company’s payments & remittance strategy, processes and policies
  • Strong math and analytical skills
  • Strong attention to detail
  • Ability to meet tight deadlines
  • Ability to balance multiple priorities simultaneously
  • Strong organization skills
  • Provides superior customer service to its internal and external customers
