Position Overview

This position provides executive level assistance to the President, the Board, and the P2C leadership team. This role serves as the primary point of contact for internal and external parties on all matters pertaining to the Office of the President. The Executive Assistant must be confident, detail oriented, professional and results-driven.

 

The ideal candidate would enjoy a fast-paced environment with a wide variety of tasks and responsibilities, be able to exercise sound judgment in various professional situations with strong communication skills and balance the demands of multiple priorities at any given time. This candidate would be a high-capacity individual with extensive experience in the administrative field and would excel in project management and any and all administrative tasks.

 

About the Role

In this role, you will be responsible to achieve the following objectives:

Executive Support

President

  • Ensure the President’s meetings, emails, expense reconciliations, reports, and travel arrangements are completed accurately in a timely way
  • Manage the President’s calendar with great attention to detail and effective time management
  • Provide administrative leadership and support by anticipating needs and overseeing various projects
  • Support the President in other administrative areas as needed, including but not limited to:
    • Taking meeting minutes
    • Arranging speaking engagements
    • Drafting internal and external communications from the President’s Office
    • Coordinating executive lunches and other events

P2C Leadership Teams (ELT)

  • Coordinate ELT meetings, including scheduling, agenda creation, and follow up action steps
  • Plan and execute leadership retreats throughout the year

P2C Board

  • Arrange the semi-annual board meetings and monthly board calls
  • Draft and edit semi-annual Board Report in preparation for the Board meetings
  • Oversee communication to and from the Board of Directors
  • Manage all documentation pertaining to Board Governance, Board meetings, corporate matters and the annual audit including but not limited to:
    • Drafting legal documents for signature
    • Drafting Board meeting minutes and annual resolutions
    • Board of Directors and Member records
    • By-laws
    • Ensuring documents are submitted, filed and stored appropriately

Donor Coordination 

  • Serve as first point of contact for President’s Office donors
  • Facilitate communication with donors regularly
  • Ensure the President is prepared for meetings with donors, as well as donor development & cultivation events
  • Provide critical support to the President in managing donor relationships in partnership with the P2C development team
  • Ensure donor data is captured in a clear and organized manner and entered into appropriate databases

Other Responsibilities   

  • Execute special projects as needed
  • Attend Chapel and prayer meetings

  • Strong public relations skills and adept at interacting with senior leaders, both internally and externally
  • Confident and self-assured enough to handle details and read between the lines
  • Effective problem solver in a fast-paced environment
  • Able to maintain strict confidentiality
  • Flexible to work early mornings, evenings and weekends as needed
  • Interest and desire to grow in leadership and operations
  • Strong administrative capacity
  • Able to think critically and intuitively
  • Technologically savvy with an interest in learning new software
  • Strong understanding of Google Suite products (Gmail, Google Drive, etc.)
  • Experience with Adobe InDesign & Canva is an asset
  • Experience with Salesforce is an asset
  • Exceptional written and oral communication skills with the ability to take notes and capture information 
  • Pleasant and professional demeanour
  • Able to work in a fast-paced environment and handle changing priorities
  • Attention to detail, even when under time constraints
  • Dedicated with a servant's heart
  • Passionate about evangelism

Education and Experience

  • Completed a post-secondary degree in Business Administration or equivalent  relevant experience
  • 5+ years of executive administrative experience
